Quality Officer

Job Description:

  • Position Title: Quality Officer/Food Safety Officer
  • Function: Quality Assurance
  • Educational Qualification: B.Tech /Postgraduate in Food Technology
  • Experience: Minimum 5-6 years of experience in a food manufacturing facility handling systems & processes. Experience in quality & food safety systems audit is preferred.

Key Responsibilities:

Header: Quality & Food Safety Execution

  1. 1) Ensure on-line product quality monitoring & immediate action taken through production officers & CP management to address any non-conformity
  2. 2) Ensure testing of finished goods as per standard sampling & test method with correct documentation. Participate in product quality exercise regularly.
  3. 3) Periodic verification of process records, incoming quality check records, ingredient shelf-life records, in-process quality check records
  4. 4) Regular verification of correct functioning of critical process equipment’s like weighing balances, metal detectors, sifters, dividers, molders, oven, slicers and coders
  5. 5) Ensure basic hygiene, food safety & GMP requirements are complied with in manufacturing.
  6. 6) Ensure critical to food safety processes are being complied with at any point in time during manufacturing. This would include metal detector, pest control, conveyor condition, equipment cleanliness, sieves & magnets, personnel hygiene, storage condition etc.
  7. 7) Conduct training sessions for workers to create awareness on quality standards, GMP, food safety & hygiene
  8. 8) Regular audit of systems, processes & lab to verify compliance to quality & food safety standards
  9. 9) Immediate & suitable action against issues related to process/system/norm non-adherence, equipment malfunctioning, quality monitoring, food safety & hygiene to prevent the outcome affecting consumers & brand value.

• Header: Statutory Compliance

  1. 1) Ensure wrappers are checked for presence of correct addresses, MRP, veg logo, mandatory declarations & necessary documentation maintained
  2. 2) Ensure sufficient samples are checked for weight at every stage of production
  3. 3) Ensure immediate action in process to correct the non-adherence before continuing
  4. 4) Verification of compliance to pack weights by random sampling on regular basis
  5. 5) Ensure no lots detected with underweight packs are released without 100% checking & sorting
  6. 6) Ensure functioning of coder with legible printing on each & every pack across SKUs
  7. 7) Ensure systems are followed during change in date, shift, and supervisor’s name with necessary documentation
  8. 8) Verification of compliance to coding by random sampling on regular basis
  9. 9) Ensure all weighing balances & dead weights are calibrated as per schedule & not in use without necessary certification

• Outcomes expected: Packs & Products complying to statutory requirements

• Header: Consumer Complaints

  1. 1) Share each & every complaint as & when they are received with CP management & concerned supervisors, operators & shop floor workers
  2. 2) Identify probable causes of the complaint irrespective of sample availability in consultation with CP management, supervisors, operators & workers
  3. 3) Assist in designing corrective & preventive measures along with the team & implement the same with immediate effect
  4. 4) Evaluate the effectiveness of action through regular evaluation of process & product & trend of complaint of similar nature in subsequent months.
  5. 5) Analyze all complaints registered in terms of category, SKU, extent, trend etc. & share with CP management on regular basis to demonstrate status of improvement & drawing up further action plan

• Header: Benchmarking

  1. 1) Visit to retail outlets & distribution points weekly once for understanding customer & consumer quality concerns
  2. 2) Evaluate competition products in terms of grammage, packaging, product quality features etc.
  3. 3) Identify improvement opportunities & share action plans with operation & quality for improvements
  4. 4) Measure effectiveness of improvement through market evaluation & customer feedback

• Outcomes expected: Consistent & superior quality productsProcess Improvement Initiatives

  1. 1) Identify and prioritize improvement opportunities in areas like system, process, cost, time in consultation with operations & quality & apply project based approach towards improvement
  2. 2) Periodically review improvement in the overall quality of processes and systems at the factory
  • Header: Management information System
  1. 1) Send periodic summary report on factory quality performance to quality manager
  2. 2) Communicate critical to quality & food safety concerns to quality manager & all other concerned as soon as they are observed
  • Outcomes expected: Periodic performance report

Manufacturing unit & distribution center audit:

The person shall be responsible for

  • Conducting Quality & food safety audits at manufacturing units & distribution centers to verify compliance to defined standards in process & systems
  • Assessment of compliance to applicable regulatory requirements at manufacturing units & distribution centers
  • Identifying key risks to quality, food safety & regulatory compliance in the manufacturing & distribution process
  • Assisting units & distribution centers in upgrading their systems, processes & infrastructures towards addressing the inadequacies
  • Establishing correlation between process & system non-compliances to the consumer feedback & quality scores which in turn would facilitate in addressing key issues impacting product quality & food safety.
  • Communication of audit findings, non-compliances & key risks to unit or distribution center management, regional operation & quality teams with adequate objective & documentary evidences.
  • Reporting of audit non-compliances, risks & findings to all stakeholders within stipulated period after completion of audit
  • Follow up with unit or distribution center management & regional team for timely submission of corrective action plan with timelines & responsibilities.
  • Sensitize stakeholders on critical non-compliances

Vendor quality audit –

The person shall be responsible for

  • Auditing the manufacturing process, quality & food safety systems & regulatory compliance for existing & new vendors of ingredients & packaging materials
  • Assisting the vendors in upgrading their systems & processes towards addressing the inadequacies
  • Communicating audit findings & critical issues with recommendations to purchase & other stake holders

Approval for new unit, line & product-

The person shall be responsible for

  • For assessing the gaps in proposed new units/lines & reporting the same to appropriate stakeholders at the construction stage
  • In ensuring that the new units/lines or products are as per defined requirements & standards and the systems & processes adopted in the facility are capable of continuously meeting the quality & food safety standards of the company.

Market quality evaluation-

The person shall be responsible for

  • Participating in market sample evaluation in order to determine the quality standards against top competition brands
  • Reporting gaps & assisting units in linking those gaps to process, systems & infrastructure and closure of those gaps.

Process improvement initiatives-

The person shall be responsible for

  • Analysis of quality performance metrics of manufacturing units & initiate appropriate process improvement measures & projects to address the gaps
  • Tracking the progress on a regular basis & provide inputs to units for successful completion of projects & initiatives within stipulated timelines.
